Privacy policy
This privacy policy explains how Clearline Studio (“we”, “us”, “our”) collects, uses, stores, shares and protects personal data when you use the Clearline AI Visibility Kit website and services — including the free technical check and, when checkout is available, the paid Starter Fix Kit. It is written in plain language so you can understand what happens to your information.
1. Who we are
Clearline Studio operates the Clearline AI Visibility Kit. For the purposes of applicable data protection law, Clearline Studio, operated by Gilad, is the data controller for the personal data described in this policy. All privacy questions, access requests, correction requests, deletion requests and other data-subject requests should be sent to sarit+clearline@mail.grokbot.com.
2. What data we collect
We collect only what we need to run the free check, deliver paid work when you order it, keep the service secure and respond to you. The categories below match how the product works today.
2.1 Free technical check
When you run the free check, you enter a website URL. That check looks only at three public files on the site you name: robots.txt, sitemap.xml and llms.txt. It does not review your page content and does not run prompts in AI assistants.
In connection with a free check we may process:
- Entered URL — the website address you type into the checker form, so we know which site to fetch.
- Fetched public files — the content of
robots.txt,sitemap.xmlandllms.txtretrieved from that URL (or confirmation that a file was not found or could not be read). These files are already published on the open web; we copy them only long enough to produce your result. - Checker results — the structured outcome we show you (for example found / not found / not readable, and for robots.txt which known crawlers appear allowed or blocked). Results are a snapshot from our server and can differ by time or location.
- Server logs — technical records of the request, which typically include your IP address, browser or user-agent string, and timestamps. We use these for security, abuse prevention, debugging and basic operations — not for marketing profiles.
An email address is optional for the free check and is only needed if you ask us to send the result to you. If you do not provide an email, we do not collect one for that check beyond what may appear transiently in server logs of the HTTP request itself.
2.2 Starter Fix Kit (when checkout opens)
The Starter Fix Kit is a one-time paid service (listed price $149 USD, excluding applicable taxes). Checkout is not live until payment is connected. When you place an order after checkout opens, we process:
- Intake form data — name, email, business details (for example official business name, address if applicable, phone, opening hours, service area), description of services or products, customers you serve, facts we must not change, and optional competitor or customer-question notes. We also work from public website content on the pages you put in scope.
- Order and payment records — order identifiers, amount, currency, status, timestamps and the email and billing details needed to confirm purchase and issue receipts. Payment card data is processed by the payment provider when checkout is connected; Clearline Studio does not store full card numbers or CVV on our systems. Until a payment provider is chosen and named publicly, we refer only to that category of processor.
- Support correspondence — emails and messages you send us about your order, delivery, questions during the support window, or privacy and refund requests, including our replies.
2.3 What we do not collect for its own sake
We do not ask for your website passwords. For the launch Starter Fix Kit we work from your public website and the intake details you provide; you or your web person apply changes. We do not run advertising cookies or third-party marketing trackers on the site as of the effective date of this policy (see Cookies and analytics below).
3. Why we use the data (purposes and legal / operational need)
We use each category only for the purposes below. In plain language, the operational need is to provide the check or kit you asked for, keep the service reliable and safe, meet accounting and consumer-law duties, and respond to your requests.
| Data | Purpose | Why we need it |
|---|---|---|
| Entered URL; fetched robots.txt / sitemap.xml / llms.txt; checker results | Run and display the free technical check | Without the URL and those public files we cannot produce the check you requested |
| Server logs (IP, user-agent, timestamps) | Security, rate limiting, abuse prevention, troubleshooting | To protect the service and diagnose failures; legitimate operational interest in a secure website |
| Optional email for free-check results | Send you the result if you ask | Your request to receive the result by email |
| Intake form; public site content in scope | Analyse readiness, prepare the Starter Fix Kit deliverables, human review before delivery | Contract performance (deliver the kit you ordered) |
| Order and payment records | Process payment via the payment provider, confirm orders, accounting, tax where required, refunds | Contract performance and legal accounting obligations |
| Support correspondence | Answer questions, fix delivery issues, handle privacy and refund requests | Contract performance and responding to your requests |
We do not sell your personal data. We do not use free-check or intake data to build advertising audiences or to sell leads to third parties.
4. How long we keep data (retention) and deletion
- Free-check fetches and on-screen results: kept only as long as needed to show you the result and for short-term operational logs. We do not keep a long-term marketing archive of every URL checked.
- Server logs: retained for a limited operational period (typically up to 90 days, unless a longer period is needed to investigate abuse or a security incident).
- Order, payment and intake records for paid work: retained for the time needed to deliver the kit, provide the stated support window, and meet bookkeeping and consumer-law record requirements (commonly up to several years for invoices and payment records, depending on applicable law).
- Support emails: retained while the conversation is active and for a reasonable period afterward so we can follow up on the same order, then deleted or minimised when no longer needed.
You may request deletion of personal data we hold about you by emailing sarit+clearline@mail.grokbot.com. We will confirm what we can delete and what we must keep for legal or accounting reasons (for example completed payment records). We aim to acknowledge deletion and other privacy requests within 5 business days and to complete them within 30 days where the law allows, or explain if more time or a legal exception applies.
5. Sharing with processors (we do not sell data)
We share personal data only with service providers that process it on our behalf as needed to run Clearline Studio, and only for the purposes above. Categories of processors include:
- Hosting and content delivery — for example Cloudflare or a comparable hosting / CDN provider that serves the website and may process IP addresses and request metadata in server logs.
- Payment provider — when checkout is connected, the provider that processes card or other payment details. We will name the specific provider on the site and in an updated version of this policy once chosen. Until then, card data is not collected by us for live checkout.
- Email and messaging infrastructure — to send order confirmations, deliverables and replies to support and privacy emails.
- AI tooling providers — models or APIs we use to scan public pages and help prepare suggested copy for paid kits (see AI use below). They process the content we send them under their terms.
Subprocessors receive only what they need to perform their function. We do not sell personal data. We do not share intake details with unrelated marketers.
6. International transfers
Clearline Studio and its processors may store or process data on servers located outside your country of residence (for example in the United States or other regions where hosting, payment or AI providers operate). Where that happens, your data may be subject to the laws of those countries. We use reputable providers and limit what we send them to what the service requires. If you have questions about where your data is processed for a specific order, contact us at the email above.
7. Your rights
Depending on where you live (including the EU, UK, Israel and other jurisdictions with similar rules), you may have the right to:
- Access — ask what personal data we hold about you and receive a copy.
- Correction — ask us to fix inaccurate or incomplete data.
- Deletion — ask us to erase personal data when it is no longer needed or when the law requires erasure (subject to records we must keep).
- Objection or restriction — where applicable, object to certain processing or ask us to restrict how we use your data while a complaint is resolved.
- Complaint — contact your local data-protection authority if you believe we have mishandled your data.
To exercise these rights, email sarit+clearline@mail.grokbot.com with enough detail for us to identify your request (and, for paid orders, your order details). We may need to verify your identity before releasing or deleting data. Statutory consumer and privacy rights that apply to you are not limited by this policy.
8. Cookies and analytics
We do not use cookies or analytics trackers on the Clearline AI Visibility Kit site as of 19 October 2026. The free check runs from a form submission to our server; we do not set advertising cookies, do not embed third-party analytics pixels, and do not use session cookies for marketing. If that changes, we will update this privacy policy before introducing cookies or analytics and, where required, obtain consent.
9. Security
We take reasonable technical and organisational measures to protect personal data. These include serving the site over HTTPS, limiting access to order and intake records to people who need them to deliver the service, and using processors who provide industry-standard transport security. No method of transmission or storage is perfectly secure; if we become aware of a breach that affects your personal data, we will notify you and regulators as required by applicable law.
10. AI use in the service
We use automated tools and AI models as part of delivering Clearline AI Visibility Kit. For the free check, automation fetches and parses the three public files you pointed us to. For paid Starter work, tools may process public website content and customer-provided intake details to help scan pages and prepare suggested copy (for example FAQ wording or business descriptions). A person at Clearline Studio reviews every paid deliverable before it reaches you. Nothing is published on your site without your approval; you should verify that suggested content is factually correct for your business.
We do not sell your personal data or intake form contents. We do not claim that customer intake data is never processed by third-party AI providers: when we use such tools, the providers process the content we submit under their own terms and privacy policies. We send only what is needed for scanning or preparing your deliverables. We do not operate a separate programme that sells or licenses your intake data for others to train general-purpose models. We cannot invent guarantees about how each upstream AI provider retains or uses API inputs beyond what their published terms state; ask us if you need more detail for a specific order.
11. Children
The Clearline AI Visibility Kit is aimed at businesses and adult operators. We do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact us and we will delete it.
12. Changes to this policy
If we change how we collect or use personal data in a material way — for example when a payment provider is connected, or if we introduce cookies — we will update this page and revise the effective date. Continued use of the site after an update means you should read the revised policy.
